Description of duties: Under the supervision of the senior official, the incumbent performs the following functions: 1. Switch board a) Receive all incoming calls in an appropriate manner b) Pass calls where necessary c) Make calls for staff and office guests when required to do so d) Properly maintain the switchboard by cleaning and getting it serviced as necessary 2. Telephone infrastructure: a) Ensure that all telephone lines and telephone sets are in good operating state at all times. b) Reports faults to national telecommunication company (GAMTEL) or AFRO as appropriate c) Follow-up with GAMTEL on sending of the office’s telephone bills on time 3. Dispatch and Receipt of Letters: a) Properly enter all letters for dispatch in the Outgoing Mail Register b) Ensure that letters are dispatched without delay c) Check the register regularly to ensure that it is properly completed and mails are delivered to the right recipients d) Receive incoming letters and forward them to SEC/WR 4. Guests: a) Receive guests and visitors to the office b) Get them seated while waiting for their appointments c) Direct them to the appropriate office/officer 5. Any other assignment given by the Country Representative or Administrative Officer Knowledge & Skills: • Ability to communicate, both orally and in writing, by providing and obtaining information, effectively, clearly, correctly, concisely, completely, logically in a timely manner, at a level and in a format consistent with the audience while maintaining confidentiality. • Ability to establish and maintain effective working relationship with a variety of individuals or groups to complete assignments, affect outcomes or provide a service; • Ability to deal with {resistant /. irate / demanding / frustrated / distraught / hostile / confused / angry} individuals or groups at various levels within and /or outside the organization effectively, responding appropriately to provide or obtain information / convey information they may not want to hear / clarify or resolve issues / provide assistance or service. • Ability to use computer applications to enter and retrieve data / access information / produce and edit a variety of effective correspondence, documents and reports. Languages: Excellent knowledge of English A good knowledge of French will be an advantage.
